S-Files BAT

The right plan revision, on the building site and in the office

S-Files BAT organises the vault around the building site. Plans, tenders, contracts and minutes for a given building can be viewed on the site manager’s tablet.

Everyday life before S-Files

What we hear most often

These situations come up in almost every organisation we meet.

Two teams, two plan revisions

The office has sent revision C, but the team leader is still working from revision B, printed last week. The rework costs hours.

The tender nobody can find when an amendment is due

You need to find what was originally tendered to justify an additional cost. The document is in someone’s inbox.

Meeting minutes nobody acts on

Decisions are made in the meeting, recorded, then forgotten until a dispute arises.

Building site close-out, six months later

Gathering the guarantees, final accounts and acceptance minutes ties up a staff member for days.

S-Files BAT

What changes once it is in place

One plan, one current revision

Version history shows what changed and when. The latest approved version is the one everyone opens.

The building site file, accessible from the site itself

On a tablet or phone, the site manager opens the contract, the plan or the minutes without calling the office.

Tenders and contracts linked to their work package

Each document is tagged with its building and work package. Justifying an amendment takes a search, not an investigation.

Every approval follows its workflow

Daywork sheets, amendments and subcontractor invoices go through dated steps, with deadlines and statuses.

Close-out prepared as you go

Guarantees, acceptances and final accounts are filed as the work progresses. Final archiving becomes a formality.

The documents S-Files BAT handles:

  • Plans and revisions
  • Tenders
  • Works contracts
  • Building site minutes
  • Amendments and daywork sheets
  • Subcontractor invoices
  • Guarantees and acceptances
  • Safety reports

Day to day

What changes in the working day

  • The team leader opens the latest plan revision on the tablet.
  • You justify an amendment by finding the original tender.
  • The meeting minutes go out signed the same day.
  • A subcontractor invoice is matched to its work package without re-keying.
  • The building site is closed out with documents already filed.

The filing principle

A vault built around building sites

Documents are filed by building site. Each document is tagged with its building, work package and revision, so the team always works on the latest approved version.

Frequently asked questions

What we are asked in construction

Our site managers have an unreliable network connection. Is that a problem?

The documents they need can be made available offline and synchronise when the connection returns. We agree exactly which ones with you when scoping the project.

Do you manage plan revisions automatically?

The revision is part of the document’s metadata. The current version opens by default, and previous versions remain available, with their dates.

What happens to the file when the building site is closed out?

It moves into the archive with its guarantees and acceptances. Legally compliant archiving is available through the Swisscom Trust Services certificate.
